Acceptable Use Policy

1. Purpose

This Acceptable Use Policy (“AUP”) defines the permitted and prohibited uses of the information technology services, systems, networks, and resources managed or provided by Nodexis Solutions (“we,” “us,” or “our”) to its clients (“you” or “your organization”). By using any services provided by Nodexis Solutions, you agree to comply with this policy.

This policy is designed to protect the security, integrity, and availability of managed IT environments and to ensure that all users operate within legal and ethical boundaries.

2. Scope

This AUP applies to all individuals who access or use systems, networks, applications, cloud environments, email platforms, endpoints, or any other IT resources managed by Nodexis Solutions on behalf of your organization. This includes employees, contractors, vendors, and any other authorized users.

3. Permitted Use

IT resources managed by Nodexis Solutions are provided for legitimate business purposes. Permitted uses include:

  • Conducting day-to-day business operations and communications
  • Accessing authorized applications, cloud services, and data repositories
  • Sending and receiving business-related email and messages
  • Storing and processing business data in approved systems
  • Limited personal use, provided it does not interfere with business operations, consume excessive resources, or violate any provision of this policy

4. Prohibited Activities

The following activities are strictly prohibited when using IT resources managed by Nodexis Solutions. This list is not exhaustive; any activity that compromises security, legality, or the rights of others is prohibited:

4.1 Security Violations

  • Attempting to gain unauthorized access to any system, network, account, or data
  • Sharing login credentials, passwords, or multi-factor authentication tokens with unauthorized individuals
  • Disabling, bypassing, or tampering with security controls, firewalls, endpoint protection, or monitoring tools
  • Introducing malware, ransomware, viruses, or any malicious software into managed environments
  • Running unauthorized vulnerability scans, penetration tests, or network probes without prior written approval from Nodexis Solutions
  • Connecting unauthorized devices or personal equipment to managed networks without approval

4.2 Illegal & Unethical Activity

  • Using managed resources for any activity that violates federal, state, or local law
  • Transmitting, storing, or distributing content that is illegal, obscene, defamatory, or discriminatory
  • Engaging in harassment, threats, or intimidation through any managed communication platform
  • Infringing on intellectual property rights, including unauthorized distribution of copyrighted material
  • Using IT resources for unauthorized commercial purposes or personal financial gain unrelated to your organization's business

4.3 Network & System Abuse

  • Sending unsolicited bulk email (spam) or engaging in phishing activities
  • Consuming excessive bandwidth or system resources in a manner that degrades service for other users
  • Installing unauthorized software, browser extensions, or applications on managed endpoints
  • Modifying system configurations, network settings, or security policies without authorization
  • Using managed resources to host, distribute, or facilitate peer-to-peer file sharing of unauthorized content

5. Email & Communication Standards

All email and messaging systems managed by Nodexis Solutions must be used responsibly. Users must not send deceptive, fraudulent, or misleading communications. Email signatures, display names, and sender addresses must accurately represent the individual and organization. Auto-forwarding business email to external personal accounts is prohibited unless explicitly approved by your organization and Nodexis Solutions.

6. Data Handling & Confidentiality

Users are responsible for handling all data in accordance with their organization’s data classification and retention policies. Sensitive, confidential, or regulated data (including PII, PHI, and financial records) must only be stored in approved, encrypted systems. Transferring business data to personal devices, unauthorized cloud storage, or external media without approval is prohibited.

If your organization is subject to regulatory frameworks such as HIPAA, PCI-DSS, CMMC, or SOC 2, additional data handling requirements may apply as outlined in your service agreement with Nodexis Solutions.

7. Monitoring & Enforcement

Nodexis Solutions reserves the right to monitor, log, and audit the use of all managed IT resources to ensure compliance with this policy, protect system integrity, and respond to security incidents. This monitoring may include network traffic analysis, endpoint telemetry, email filtering, and access log review.

Users should have no expectation of privacy when using managed IT resources. All data transmitted through or stored on managed systems may be subject to review.

8. Incident Reporting

Users must promptly report any suspected security incident, policy violation, data breach, or unauthorized access to Nodexis Solutions. Early reporting is critical to minimizing damage and maintaining the security of your environment. Reports can be submitted through your organization’s designated IT contact or directly to the Nodexis Solutions support team.

Examples of reportable incidents include: suspicious emails or phishing attempts, unauthorized account access, lost or stolen devices, accidental data exposure, and unusual system behavior.

9. Consequences of Violation

Violations of this Acceptable Use Policy may result in:

  • Temporary or permanent suspension of access to managed IT resources
  • Notification to your organization's management or designated authority
  • Investigation and forensic analysis of the affected systems
  • Referral to law enforcement if criminal activity is suspected
  • Termination of services in accordance with the terms of your service agreement

Nodexis Solutions reserves the right to take immediate action, including restricting access, to protect managed environments when a violation is detected or reasonably suspected.

10. Third-Party Services & Integrations

Your managed environment may include third-party applications, cloud platforms, or integrations. Users must comply with the acceptable use policies and terms of service of those third-party providers in addition to this AUP. Nodexis Solutions is not responsible for enforcing third-party policies but may restrict access to third-party services that pose a security risk.

11. Policy Updates

Nodexis Solutions may update this Acceptable Use Policy from time to time to reflect changes in technology, legal requirements, or best practices. Updated versions will be posted on this page with a revised effective date. Continued use of managed IT resources after updates are posted constitutes acceptance of the revised policy.
